What we receive

Information we collect

Depending on how you contact us, this may include:

  • Your name, production or company and contact details.
  • Project type, vehicle requirements, dates, locations, intended use and requested support.
  • Reference links and any additional information you choose to provide.
  • Correspondence, quotes, booking details and records created while arranging or delivering a job.
  • Basic technical and security information used to protect the website and enquiry form, such as an IP address, browser data and security check results.

Your name, production or company, email address and vehicle requirement are required so that we can identify and assess the enquiry and reply to you. The other form fields are optional. If the required details are not supplied, we cannot process the brief through the form.

Reference links

Only send material you are entitled to share. Please do not include passwords, scripts, call sheets, budgets, cast details, access codes or unnecessary sensitive information in the enquiry form.

If you provide information about another person, only share what is necessary and make sure you are entitled to provide it.

Purpose and lawful basis

How we use your information

Enquiries, quotes and bookings

We use your details to assess a brief, respond, prepare a quote, arrange vehicles and support, and deliver an agreed service. Where you are the person entering into the agreement, we do this to take steps at your request before a contract and to perform that contract. Where you contact us for a production or company, we rely on legitimate interests in handling business enquiries and providing our services.

Operations and customer service

We keep suitable records to manage projects, maintain continuity, handle queries and protect legitimate business interests. We only rely on legitimate interests where they are not overridden by your rights.

Security and abuse prevention

We use security checks and limited technical information to protect the website, form and inbox from spam, fraud and misuse. Our lawful basis is legitimate interests.

Accounts and legal requirements

We retain and disclose records where necessary for tax, accounting, insurance, legal claims or another legal obligation.

We do not sell personal information. We do not use information submitted through the brief form for unrelated advertising. Turnstile performs an automated security assessment, but it does not decide whether Autofilm will accept or respond to your business enquiry.

Limited disclosure

Who we share information with

Where it is necessary for the purposes above, we may share it with:

  • Cloudflare, which hosts and protects the website and stores the website form record.
  • Resend, which delivers the form acknowledgement and internal notification email, and Google, which provides our business mailbox.
  • Vehicle owners, drivers, transport providers, specialist partners and production contacts involved in the relevant brief or booking.
  • Accountants, insurers, professional advisers, law enforcement or regulators where reasonably necessary or legally required.

Some service providers process information outside the UK, including in the United States. Where applicable, transfers may rely on the UK Extension to the EU-US Data Privacy Framework. Where that does not apply, approved contractual safeguards are used, including the UK Addendum to the EU Standard Contractual Clauses. Contact us if you would like more information about the safeguards used.

Storage limitation

How long we keep information

  • Enquiries that do not become bookings: normally up to 24 months after the last meaningful contact, so that we can deal with a reopened production enquiry and keep an accurate record of what was discussed.
  • Bookings and project records: normally up to six years after the relevant project, or longer where tax, insurance, dispute or legal requirements make this necessary.
  • Security and email delivery records: only for as long as reasonably needed to prevent abuse, maintain security and resolve delivery issues, subject to the service provider's own retention controls.

We review enquiry information at least annually and delete or anonymise it when it is no longer needed. Deleted information may remain for a limited period in restricted recovery copies before those copies are overwritten.

Your choices

Your data protection rights

Depending on the circumstances, you may have the right to ask for a copy of your information, correct it, have it deleted, restrict how it is used, receive it in a portable format or object to its use.

Your right to object

You can object where we rely on legitimate interests. We will stop using the information unless we have compelling lawful grounds to continue or need it for legal claims.

To exercise a right, email contact@autofilmlogistics.com. We may need to confirm your identity before acting on a request.

You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address the issue first.

Website technology

Cookies and security checks

We do not currently use advertising or audience analytics cookies on this website.

The enquiry form uses Cloudflare Turnstile to distinguish real visitors from automated abuse. This security service may process an IP address, browser and device signals, the site address and the result of the security check. Cloudflare states that Turnstile does not access the content entered into the form. It may use cookies or similar browser storage that are necessary for the security check. Blocking that technology may prevent the form from working, but you can still contact Autofilm by email or telephone.

If we introduce optional analytics or advertising technology in future, we will update this notice and request consent where the law requires it.

We may update this page when the website, our services or legal requirements change. The date at the top shows when it was last updated.
